Qbit

Importing events from your calendar

Connect Google Calendar, Apple iCloud, or Outlook and your events stay up to date.

Keep your schedule in Google Calendar, Apple iCloud, or Outlook and Qbit imports it. Your events update from the calendar every 15 minutes, so the list on your pages stays current without entering anything twice. Calendar import is included with Premium and Team plans.

Use a calendar for your public events

Every event on the calendar you connect is imported, and a secret calendar link shows all of them to anyone who has it. Create a calendar only for the events you want on your pages (for example "Taproom events") and connect that one, not your personal or work calendar.

Find your calendar's link

You need the calendar's iCal link, which starts with https:// or webcal://.

  • Google Calendar (on the web): open the calendar's Settings and sharing, go to Integrate calendar, and copy Secret address in iCal format. For a public calendar, the public address works too.
  • Apple iCloud: share the calendar as a Public Calendar and copy its link.
  • Outlook: in calendar settings, open Shared calendars, publish the calendar, and copy the ICS link.

Import the calendar

  1. Go to Events and click Import from calendar.
  2. Paste the link and click Preview events. Qbit lists the upcoming events it found in the next 6 months.
  3. Check the Calendar name and choose how new events arrive: with Publish new events on, they show on your pages right away. Turn it off to get them as drafts you publish yourself.
  4. Click Connect calendar.

The calendar appears above your events, with when it last synced and how many events came from it.

What updates and what stays

Your calendar controls each event's title, description, and date and time. Change them in the calendar and Qbit updates within 15 minutes. On an imported event's page (marked From calendar) those fields are read-only, and imported events can't be dragged to a new time on the calendar view.

What you add in Qbit is kept through every update: the featured image, ticket link, and RSVP form.

  • Events you add to the calendar are imported. Events you delete from it are removed from Qbit.
  • Repeating events come in as a series, one event per date for the next 6 months. Dates you cancel or move in the calendar follow along. Change the repeat pattern in your calendar.
  • To set an image or ticket link on every date of a repeating event, edit one date and choose All events in the series. Dates added later pick it up too.
  • The calendar's location is matched to your saved locations, or saved as a new one. To use a different location, pick it on the event's page in Qbit. It's kept until the location changes in your calendar.
  • All-day events show as All day event on your pages.

Sync, update, or disconnect

Open the menu next to a connected calendar:

  • Sync now: update right away instead of waiting for the next sync.
  • Update link: paste a new link, for example after you reset a secret address.
  • Publish new events: choose whether events imported from now on arrive published or as drafts. Events already imported keep their status.
  • Disconnect: stop updating from the calendar. Keep events turns the imported events into regular events you edit in Qbit; Delete events removes them.

When a calendar needs attention

If Qbit can't read a calendar (the secret address was reset, or the calendar was deleted or is no longer shared), it's marked Needs attention and the person who connected it and your organization's owners get an email. Imported events stay as they are in the meantime.

To fix it, copy the calendar's current link, choose Update link, and paste it. The warning clears on the next successful sync.

Good to know

  • Times are shown in your organization's timezone, whatever timezone the calendar uses.
  • You can connect several calendars. Each calendar can be connected once.
  • Import only reads from your calendar. Changes you make in Qbit are never written back to it.
